Training Diary Generator HomeTraining Implementation

As part of training implementation and customised training programs great benefit can be gained by using training diary generators to measure the competency, comprehension and implementation of specific skills and capability uplift within an organisation post and during training delivery. Training Diary Generators can:

  • Reveal the level of comprehension of specific topics
  • Display whether training needs to be revisited based upon personnel responses
  • Reveal strengths and weaknesses in training delivery
  • Provide assurance that post training activity is delivering the requirements of the training and hence the process
  • Provide an avenue for personnel to display implementation of the training in their role
The training diary can be implemented as pretraining, training or post training steps in the training delivery process or at all phases for comparative competency views. The diary can be generated as a hard copy pdf file, an editable word document or as a web application interface. In order to prepare, implement and obtain greatest value from a training diary generator the training unit of work needs to have:
  • Competency and skill requirements in place
  • Training Content completed
  • Required evidence of skill in relation to organisational processes
  • Any implementation requirements for Business as Usual in relation to the training module
  • Required timeframes for any implementation
  • Outcomes from requiring a training diary as part of the training unit
From this the training diary can be developed which includes:
  • Key questions on training content answered over a contained period by the trainee
  • Options to ask trainers and coaches key questions
  • The ability to capture continuous improvement opportunities
  • Progress on any portfolio requirements
  • Obstacles to implementation of training outcomes
Using the data provided from the cohort the training module/program can:
  • Measure the level of integration to Business As Usual of the training content
  • Improve the training content and delivery in areas of measured weakness
  • Create projects that remove obstacles for organisational change management
  • Enhance and add training channels of delivery
  • Accurately update the organisational training matrix of personnel based on responses
  • Align the competency levels achieved with uplift in process, personnel and organisational KPI

Training Diary Generator HomeWork Based Training Questions

In order to create the work based training questions for the training diary generator the training module needs to provide:

  • The training content
  • The training outcomes required
  • The training competencies to be delivered
  • The evidence required for competency
  • Training portfolio requirements
  • High level implementation plan of the training outcomes integrated into the organisation
  • The duration required for responses
    • This allows for questions and work based activity to be even spaced allowing personnel to reach the target implementation over time rather than in one effort at the detriment of other business as usual activity
  • The estimated time personnel should be spending on each portfolio activity
  • If the diary is to be staggered over multiple modules - the number of modules
From these inputs the training diary can be generated which includes:
  • Progress Questions based on competency requirements of the training module and the content delivery order
  • Portfolio planning and delivery in an order of required implementation
  • The opportunity to ask coaches and mentors questions
  • Track coaching contact hours
  • Track portfolio implementation hours
  • Provision for continuous improvement opportunities
  • Provision for operational observations both positive and negative

Training Diary Generator HomeWork Based Training Follow Up

From the responses provided by the cohort in the training diary actions within the organisation and training program can be followed which includes:

  • Trainees
    • Changes to the diary structure itself
    • Changes to the training module
    • Closing any training gaps discovered
    • Closing any implementation gaps discovered such as resource and asset requirements
    • Updating processes from an efficiency and redundancy perspective
  • Trainers, Coaches and Mentors
    • Changes to efficient use of contact hours with trainees
    • Sources for continuous improvement project opportunities
    • Insight into the effectiveness of training channels
  • Process Metrics
    • Analysis of training cohort competency to process, personnel and organisational KPI which gives a view into
      • Training Effectiveness
      • Competency to Process Metric Correlation
      • The correct level of competency for the skill requirement in the training matrix
    • Analysis of estimated time of implementation against actual
  • Diary Responses
    • Provides examples to update in training material
    • Data for realistic implementation timing

Training Diary Generator HomeTraining Feedback

The training diary is an effective method to obtain feedback on the training module and on a larger scale the training program but should not be implemented at the expense of the efficiency of integration of the new training knowledge and as such should be done in such a way that the administrative burden is reduced. The size of the administrative burden will be dependent on the size of the organisation, the size of the cohort, the size of the training module, the level of risk associated with the training module and the content contained in the training module. Training Diaries can be implemented in the following fashion each with their positives and negatives dependant on the administrative requirement of the organisation.
Hardcopy - Suited for quick implementation, smaller cohorts, smaller training programs and can be distributed at the training delivery. Is a manual process and will require follow up and analysis by the trainers, coaches and mentors to deliver full value for the organisation? Does not allow for prompting of the cohort to update the diary and does require transfer of physical documents between cohort and trainer, mentor or coach.
Electronic File - Suited for quick implementation, smaller to medium cohorts, smaller training programs and can be distributed via email and data used for analysis. Is a semi-manual process and will require follow up and analysis by the trainers, coaches and mentors to deliver full value for the organisation. Does not allow for prompting of the cohort to update the diary but as email is channel of communication can be tracked.
Web Application - Suited to all levels of training and implementation and can have an initial set up requirement. Reduces the administrative burden as all tracking and prompting, high levels of analysis and trainer/mentor/coach/cohort communication is stored, is easily retrievable and leads to action in the shortest possible time frame.
The training diary concept is much more than a training evaluation feedback form. The training diary generator delivers reporting on:

  • The level of competency of cohort
  • Integration of training content into business as usual
  • Gaps in competency coherence across the cohort
  • Continuous Improvement Opportunities
  • Progression of Implementation of Portfolio
  • Business As Usual Transition
  • Integration Timeframes
  • Training Effectiveness Levels
If conducted as a web application reporting is delivered by the diary entries and responses from the trainees, trainers, mentors and coaches. Click on the image below for an example of Training Diary generated by a Training Diary Generator
